Terms & Conditions

These Terms & Conditions apply to tours and travel services organized by Sayat Travel LLC in Mongolia. Please read them carefully before booking. By confirming a booking, you acknowledge these terms, subject to applicable law.

1. Booking and Down Payment

Your booking is confirmed once the agreed down payment has been received. After receiving your down payment, Sayat Travel begins arranging essential services for your trip, which may include domestic flights, permits, transportation, accommodation, and other tour logistics. Please ensure that all information provided during booking is accurate and complete.

  • Payments can be made by bank transfer or another payment method agreed upon with Sayat Travel.
  • Bank transfer fees and payment processing charges are the client’s responsibility, where applicable.
  • The full tour balance must be paid before the tour begins, unless another arrangement has been agreed upon in writing.

Refunds will be processed using an agreed payment method. Bank or payment processing fees may be deducted where applicable and legally permitted.

If Sayat Travel cancels a tour or cannot provide an agreed service, we will inform the client and discuss appropriate alternatives and any applicable refunds or other remedies in accordance with the booking agreement and applicable law.

4. Itinerary Changes and Flexibility

Travel in Mongolia can be affected by weather, road conditions, wildlife movements, and other circumstances beyond our control. Sayat Travel may need to adjust the itinerary for safety, practical travel arrangements, or changing conditions. We will make reasonable efforts to follow the agreed itinerary and inform clients of significant changes. Specific wildlife sightings, weather conditions, and other natural experiences cannot be guaranteed. Where a change materially affects the agreed services, any applicable remedies will be handled in accordance with the booking agreement and applicable law.

5. Health, Safety, and Emergencies

Clients are responsible for assessing their physical fitness before joining a tour and must inform Sayat Travel of relevant medical conditions, allergies, mobility limitations, or other health requirements before departure. If an emergency occurs, Sayat Travel will make reasonable efforts to assist the client and arrange transportation to the nearest appropriate medical facility when possible. Clients are responsible for their medical treatment, emergency evacuation, and related expenses to the extent provided by their insurance arrangements and applicable law.

6. Travel Insurance

Comprehensive travel insurance is mandatory for all clients. Your insurance should cover medical treatment and emergency assistance, emergency evacuation and repatriation, trip cancellation and interruption, and loss of or damage to personal belongings. Please check that your policy covers your planned activities and all destinations included in your itinerary, including remote areas and adventure activities you intend to undertake. Clients are responsible for obtaining suitable insurance before the tour begins.

7. Food and Dietary Requirements

Please inform Sayat Travel of food allergies, dietary restrictions, or special meal requirements before your trip. We will make reasonable efforts to accommodate these requirements. However, because some tours take place in remote areas of Mongolia, the availability of specific ingredients and alternative meals may be limited. Please discuss any serious food allergies with us before confirming your booking so that we can assess what arrangements are possible.

8. Visas, Passports, and Entry Requirements

Clients are responsible for ensuring that they meet Mongolia’s passport, visa, and entry requirements for their nationality and intended activities. Check current entry requirements before booking and travelling, ensure your passport meets the validity requirements applicable to your nationality and visa type, and obtain any required visa or travel authorization before departure. Sayat Travel can provide supporting travel documents where appropriate, but cannot guarantee visa approval or admission into Mongolia.

For official information, consult the Mongolian Immigration Agency and the Mongolian e-visa website.

9. Accommodation and Facilities

Depending on the itinerary, accommodation may include hotels, traditional Mongolian gers (yurts), stays with nomadic families, and camping in tents. Facilities vary by location. In remote areas, showers, toilets, hot water, and other amenities may be basic or unavailable. Camping toilets and shower facilities will be provided where available and included in the tour arrangements. Clients should be prepared for simple living conditions during remote expeditions. Please review the accommodation details in your itinerary before confirming your booking.

10. Personal Belongings

Clients are responsible for looking after their personal belongings, valuables, travel documents, and equipment throughout the trip. Please keep valuables secure and carry appropriate travel insurance. Nothing in these Terms & Conditions excludes or limits any responsibility that cannot lawfully be excluded or limited under applicable law.

11. Force Majeure and Circumstances Beyond Our Control

Unexpected events beyond our reasonable control may affect travel arrangements. These may include severe weather, natural disasters, government restrictions, and other circumstances that significantly affect travel or safety. In such situations, Sayat Travel may need to delay, modify, or change parts of the itinerary. We will make reasonable efforts to inform clients and discuss practical alternatives. Any cancellation, refund, additional costs, or other remedies arising from these circumstances will be handled in accordance with the booking agreement, applicable supplier terms, and applicable law.

12. Acceptance of These Terms

By confirming your booking and paying the agreed down payment, you acknowledge that you have had the opportunity to read and accept these Terms & Conditions. If you have any questions about these terms or your tour arrangements, please contact Sayat Travel before confirming your booking.
